BoxEx Owner Onboarding

Welcome To The Box Exchange. Great To Have You On Board.

You are now part of a nationwide CrossFit network. This onboarding makes sure your athletes actually feel it - and that your gym gets everything it deserves from being connected.

Why This Matters

If You Talk About It, They’ll Use It

CrossFit built the best fitness communities on earth. Then it left every one of them stranded on its own island. Owners grinding in isolation. Members whose training falls apart the moment they leave town.

You just changed that for your gym: one community connected across the country, instead of every box on its own island.

Here’s what we believe you just joined: a network of like-minded gym owners that can shift the culture, the mindset, and the success of CrossFit gyms in a way we haven’t seen in years. That’s a big claim. We’re making it anyway, because if every gym in this network uses it to its full extent, CrossFit grows like it hasn’t in a decade.

The mission underneath it is simple: make CrossFit a lifestyle again. When a brand-new member hears “over the next year, your body is going to change,” they start thinking in years. And the buy-in is real and physical: they get the shoes, they get the gymnastics grips, and they learn that the workouts don’t stop when they travel, because every year they’re a member at your gym, they get a free class at every other gym in this network, across the country.

The deeper your members get, the more excited they are. The more excited they are, the more engaged they are, the longer they stay, and the more they tell their friends and family. That loop grows your business, and it isn’t a trick. It works because you’re handing your members a real lifestyle upgrade.

Everything on these pages feeds that loop: done-for-you text messages, emails, Instagram posts, and one-and-two-sentence explanations for new athletes, for your coaches, and for your whole current member base. Set it up once and you’ve got a built-for-you retention and acquisition machine that runs on its own.

The gyms that get the most out of this are not the biggest or the oldest. They are the ones whose owner talks about it: to their members, to their coaches, to the owner down the road. Your members won’t hear about any of this unless you tell them. That’s the whole job on this page.

Forty-five minutes of setup and a little real enthusiasm, and your gym becomes part of something every affiliate has needed for years. And once you see what it does for your gym, tell another owner you respect. That is how this becomes the standard CrossFit always should have had.

DO THESE TWO FIRST
Every invitation the network sends for you includes it, and every visiting athlete gets prompted with it.
  1. Go to google.com/business and sign in (or open Google Maps and tap your gym's profile).
  2. Click "Ask for reviews."
  3. Copy the short link (it looks like g.page/r/XXXX/review).
  4. Paste it into your BoxEx profile under your gym settings.
One upload covers your whole current community - every member gets their invite the moment you do it.
  1. Go to theboxexchange.co/manage-members.
  2. Upload your member list (name + email is all it needs).
  3. Done. Every person on it receives a BoxEx welcome email with their personal activation link. Everybody on your roster the day you joined, members and coaches, is in free and stays free.
What Just Changed

Three Things That Are Now True For Your Gym

01

Your Membership Travels

When your members travel, they can book a class at any box in the network, and the first class at each one is free, every year. Their membership does not stop when they leave town.

02

Your Visitors Get Asked For Reviews

Every athlete who trains at your gym through BoxEx gets asked to leave you a Google review. The more reviews you have, the more likely you're the gym somebody finds when they search, and it costs you nothing.

03

You Are Part Of Something National

Your gym is now connected to a growing network of independent CrossFit affiliates. That connection makes every gym in it stronger - including yours.

No Surprises, Ever

What BoxEx Costs

We keep this simple and out in the open.

Everybody on your roster the day you joined, members and coaches, is in free and stays free. Every member you had when you joined costs you nothing - not now, not ever.

As your gym grows, each new member added to your roster is $10 a year. That’s it. Billing is automatic from the moment they’re added, and what they get for that $10 helps you sign them in the first place.

No contracts. No monthly fee. Nothing per visit. BoxEx only makes money when your gym grows. We like it that way.

Say It Right

The $10 Conversation

How the billing works, so you’re never guessing: everyone on your day-one roster is free forever, coaches included. New members after that are $10 a year each, billed when they’re added to your roster. Think about what one member pays you over a year, over their lifetime with you, then look at the $10.

Our recommendation: just cover it, and tell your members what they’re getting. Word for word or make it yours:

“This is normally $50 a year per person, but because we joined as a gym, it doesn’t cost you anything. We want you to keep training even when you’re not in [Your City]. So every year you’re here, you get a free drop-in at every gym in the network.”

When a coach asks “what do we pay for this?”

“The whole crew from day one is free forever, you included. New members are $10 a year, and the gym covers it. Cheapest membership perk we’ve ever bought.”

If $10 a member isn’t in your budget right now, there’s a second way to run it: make it part of joining your gym. Members value what they’ve got skin in:

“Part of your membership here is the BoxEx network. It’s normally $50 a year, but your membership covers $40 of it, so you’re in for $10, and every year you get a free class at every gym in the network when you travel.”

Run it as a $10 line on registration or a small annual add-on, whichever fits your billing. Either way, the number your member hears next to it is the $50 it actually costs on its own.

Your Onboarding

Four Steps. About 45 Minutes. Then It Runs.

Everything here installs on top of what you already run. Start with Step 1 and move in order - each one is fast.

1
CRM Setup Install the BoxEx activation email into your new member onboarding. Set it once and every future member gets connected automatically, forever.
2
Announce It Tell your current members what they now have access to, timed so it lands alongside their BoxEx welcome email. Copy is ready - just add your gym name.
3
Reviews Collect the reviews you've already earned from your own members, and let BoxEx handle reviews from every visiting athlete automatically.
4
Website Put your national reach in front of every prospect who finds you online.
What To Expect

Your First 90 Days

30

Members Told

Your members are activated and talking about it. The announcement is out. BoxEx is part of your pitch to every prospect who walks in - you're the gym whose membership works in every city.

60

Visitors Getting Asked

You've run the member review campaign. The more reviews you have, the more likely you're the gym somebody finds when they search, and it costs you nothing.

90

Part Of Your Sales Pitch

National access is baked into how you sell, how you retain, and how your members talk about the gym. And when a traveling athlete walks through your door, that's the network paying you back - on top of a system already working.

Why This Works

What Your Gym Looks Like After This Is Done

Your Membership Means More

You are no longer selling classes at one location. You are offering a membership with national reach. That is something the gym down the street cannot say.

Your Membership Works In Other Cities Now

The members who stay in CrossFit forever are the ones who get pulled all the way into the community. Every visit, every new gym, every connection on the road pulls them deeper - and the deeper they're in, the more CrossFit becomes who they are. People quit gym memberships. They don't quit who they are.

Visiting Athletes Keep Getting Asked For Reviews

Every visiting athlete is prompted to review your gym. Those reviews improve your local search ranking and bring in new members without you doing anything extra.

Your Community Travels With Them

When your athletes train at a BoxEx gym on the road and come back talking about it, that pride connects back to you. You gave them that.
